What can AI do for my business?

AI is not one single thing. For a small or midsize business, what is useful comes down to six capabilities. Knowing them helps you ask it for what it does well and not expect what it cannot do yet.
1. Writing
Drafts of emails, proposals, quotes, posts or replies to clients. It works best with a template and examples of how you write.
2. Reading documents
Pulling the data out of invoices, contracts, forms or photos of paperwork, and leaving it organized in a spreadsheet or in your software.
3. Summarizing and explaining
Turning a long email, a meeting or a report into five lines, or explaining something technical in plain words for a client.
4. Sorting and classifying
Deciding which client or type each document or message belongs to, and flagging what is urgent.
5. Answering questions
Answering the usual questions (hours, prices, timelines, documents needed) on your website or by email, and handing over to a person whatever it cannot answer. If a client is talking to an AI, they need to know it.
6. Connecting apps
Strictly speaking this is automation rather than AI, but it is often where the most time is recovered: data flowing on its own from your store or CRM into your invoicing software, an alert that goes out by itself when a job closes.
What you should not hand over to it yet
- Deciding for you on anything with legal, financial or client consequences.
- Giving figures without a review. AI can be wrong with complete confidence.
- Replacing your relationship with clients where it really matters.
How to use it without putting your data at risk
- Use business accounts, not free personal accounts, and check what the vendor does with what you type.
- Put in writing, on one page, which tools are used and which data never goes in.
- Review what it produces before sending it out.
What it can do for your business specifically
That depends on how your team works today. In the audit we analyze your processes with the people who run them, tell you where AI helps, how much time and money each improvement frees up and in what order to apply them, and review your cybersecurity before connecting anything.
