How much time can AI save me?

The honest answer is "it depends on the process", but you can estimate it quite well. Here is how, the percentages we use as a starting point and a real case.
The math
For each step of a process:
minutes per run × runs per month ÷ 60 = hours per month
Then you apply the percentage the improvement can save to those hours. What matters is starting from real times and frequencies: if each person says how long it actually took the last time they did it, the estimate tends to be very close.
How much each type of improvement saves
These are the ranges we start from in our audits and then adjust case by case:
| Type of improvement | Time saved on the step | Why it is not 100% |
|---|---|---|
| Connecting apps so nobody copies data | 60–90% | Someone still checks what fails |
| Rule-based automation (alerts, reminders) | 40–80% | Someone still watches the exceptions |
| AI draft reviewed by a person | 20–50% | Someone has to review and correct it |
| Turning on features you already pay for | 10–30% | It depends on how it is configured |
| Removing or merging steps | 0–100% | It depends on whether the step goes away or gets shorter |
A real case
In one of our own businesses, the invoicing process took about 8 hours. After bringing AI into it, it went down to about 15 minutes. Not every process gains that much, but the ones that consist of moving data from one place to another tend to be among the biggest wins.
What to keep in mind
- Exceptions still exist. A client who sends documents late or an unusual invoice still needs a person.
- There is a learning curve. The full savings arrive after a few weeks of use.
- You have to decide what to do with the time you get back: serve more clients without hiring, improve the service or stop working after hours.
